Office Manager, Academic & Student Affairs (CSEA)

Location: Canandaigua, NY

The Office Manager, Academic and Student Affairs will use independent judgement to perform a variety of procedural, clerical and data entry tasks as well as requiring the ability to synthesize data and trends appropriate to students and usage of the Center. The work involves verbal and written communication, as well as personal interaction with all levels of College employees and students. The Office Manager collaborates with other Academic & Student Affairs, APCI, Finance & Administration and Enrollment Management offices to ensure students are utilizing the best resources for their needs.

Qualifications:

  1. Educational Background and Experience: Associate’s degree with clerical training required; Bachelor’s degree preferred.

  2. Special Skills: Excellent written, oral, and interpersonal communication skills and the ability to use these skills for effective interactions with all members of the College community, but particularly students, faculty, and staff. Also:

  • In-depth working knowledge of office terminology, procedures, and equipment

  • Knowledge of database management

  • Ability to create, design, and set up appropriate forms, charts, surveys, etc.

  • Proficient knowledge of Microsoft Office Suite

  • Strong analytical skills/attention to detail

  • Ability to communicate effectively with students, visitors, staff, faculty.

Specific Responsibilities

  1. Provides support to ensure coverage of office during business hours is staffed.

  2. Schedules appointments for students within functional areas and makes referrals for staff.

  3. Has a working knowledge of the Centers within Student Affairs to appropriately direct requests to the correct staff person, service or make referrals to other services outside of Student Affairs purview.

  4. Synthesizes data from multiple sources (e.g., Starfish, Chatbot, Student Lingo) and provides data reports to appropriate individual(s).

  5. Assists with data collection and input for programs such as Starfish, Chatbot, Maxient, SingleStop, PyraMed and on-demand Health Service platforms.

  6. Assists with immunization compliance for specialized student populations and academic programs.

  7. Serves as a back-up on registration and data collection processes for Disability Services.

  8. Develops a working understanding of the new student registration system and troubleshoots registration questions specifically around immunization, prior felony and dismissal from another institution processes

  9. Completes the requisition process and data tracking management system for supplies, professional staff needs and other order requests approved by the Sr. Director and/or Associate Provost for Student Affairs

  10. Processes reporting of payroll expenditures by functional areas and updates budget management tracking system.

  11. Documents administrative ongoing processes.

  12. Works with Sr. Director and staff within the department as well as the Marketing department to ensure the office website is continuously updated.

  13. Creates forms, charts, and surveys as necessary for various office programs and presentations.

  14. Maintains a professional and courteous attitude towards coworkers and the internal and external College community. Maintains effective working relationships to ensure institution wide teamwork and collaboration. Demonstrates knowledge of, respect for, and successful engagement with members of other cultures or backgrounds

  15. Maintains high regard for privacy and confidentiality.

  16. Performs other related duties as assigned by the Sr. Director , Associate Provost of Student Affairs or Provost, VP of Academic & Student Affairs.

  2. Must be able to remain in a stationary position 50% of the time.

Benefits and salary range:

Applicants receiving benefits through the New York State Retirement System should review state regulations regarding post-retirement employment. This position is not eligible for employment under a Section 211 waiver.

  1. Competitive starting hourly rate in the range of $18.53 - $22.62 and is commensurate with qualifications
